Overview

This Privacy Policy describes how Transfonic ("we," "us," or "our") collects, uses, and protects information when you visit and use our website located at www.transfonic.com (the "Platform"). By using Transfonic, you agree to the practices described in this document.

Transfonic is a browser-based file conversion and processing platform. We are committed to operating with minimal data collection. We do not require account creation, we do not sell personal data, and we do not retain your files beyond the moment your download is complete.

We encourage you to read this policy in full. If you have questions about any section, you can reach us at any time using the contact information provided at the bottom of this page.

02

Information We Collect

We collect only the minimum information necessary to operate the platform and improve the experience for all users. We divide this into two categories: information you provide and information collected automatically.

Information You Provide

Transfonic does not require you to create an account, register, or provide any personal information to use its core tools. However, certain interactions may involve voluntary data submission:

  • Contact enquiries. If you reach out via our contact form or email, we collect the name and email address you provide, along with the content of your message. This information is used solely to respond to your enquiry.
  • Feedback submissions. If you submit feedback or a bug report, we may collect a description of the issue and any contact details you choose to include.

We never request sensitive personal information such as payment details, government identification, or health-related data for any standard use of the platform.

Information Collected Automatically

When you visit Transfonic, our servers and third-party analytics tools may automatically collect certain non-identifiable technical information, including:

  • Your approximate geographic region (country or city level — not precise location)
  • Browser type and version
  • Operating system and device type
  • Pages visited and time spent on the platform
  • Referring URL (the page that linked you to Transfonic)
  • Timestamps of visits and tool interactions

This information is collected in aggregate and is used exclusively to understand how the platform is used, identify performance issues, and improve the overall user experience. It is not used to build individual profiles or to identify you personally.

03

File Handling & Processing

File privacy is the most important aspect of how Transfonic operates, and we want to be entirely transparent about it.

Transfonic does not store, retain, analyze, or share any file you upload to the platform. Files are permanently deleted immediately after your download is complete.

How Your Files Are Handled

  • Upload. When you upload a file, it is transmitted over an encrypted connection (256-bit SSL) to an isolated, ephemeral processing environment.
  • Processing. Your file is processed by the relevant engine (document, image, audio, video, etc.) in a session that is completely isolated from other users and from our general infrastructure.
  • Download. The processed output is made available for you to download. Once downloaded, or after a short expiry window, the file is permanently and irreversibly deleted from our servers.
  • No retention. We do not retain copies of your original files or your processed outputs. We do not back them up. We do not index them. We do not read their contents for any purpose.

What We Do Not Do With Your Files

  • We do not store your files on permanent servers
  • We do not use your files to train machine learning models
  • We do not share your files with third parties
  • We do not analyze the content of your files for advertising purposes
  • We do not allow any employee to access your file content

This is not just a policy commitment — it is how the technical architecture of the platform is built. Ephemeral session environments ensure that files cannot persist beyond the processing window, regardless of intent.

04

Cookies & Analytics

Transfonic uses a minimal set of cookies and analytics tools to understand how the platform performs and how users interact with it. We do not use cookies for advertising targeting or behavioral profiling.

Types of Cookies We Use

  • Essential cookies. These are technically necessary for the platform to function correctly — for example, maintaining session state during a file conversion. These cannot be disabled without breaking core functionality.
  • Analytics cookies. We use privacy-respecting analytics to understand aggregate traffic patterns, popular tools, and performance metrics. These cookies do not identify individual users and do not track cross-site behavior.
  • Preference cookies. These remember lightweight interface preferences (such as theme or layout settings) so your experience is consistent across visits.

Managing Cookies

You can manage or disable non-essential cookies through your browser settings at any time. Disabling analytics or preference cookies will not affect your ability to use Transfonic's core file processing tools.

Analytics

We may use third-party analytics services to collect and analyze aggregate, anonymized usage data. Any such services are configured to respect user privacy — IP addresses are anonymized, and data is not used for cross-site tracking. We do not use advertising analytics networks or behavioral data brokers.

05

Third-Party Services

To operate the platform reliably and at scale, Transfonic works with a limited set of third-party service providers. These providers are carefully selected and contractually required to handle any data in accordance with applicable privacy laws and our own data standards.

Categories of Third-Party Providers

  • Cloud infrastructure providers. We use cloud computing platforms to host and process files. These providers operate under strict data processing agreements and do not have access to your file content beyond the technical act of storage and transmission.
  • Analytics providers. Aggregate, anonymized usage data may be processed by analytics services to help us understand platform performance.
  • Communication providers. If you contact us by email or through a contact form, your message may be processed by an email or customer support platform.

What We Do Not Do

We do not sell, rent, or trade your personal data with any third party for marketing, advertising, or commercial purposes. We do not share your file content with any third party under any circumstances. Any third-party provider we work with is prohibited from using data collected through Transfonic for their own commercial purposes.

External Links

Transfonic may contain links to external websites. We are not responsible for the privacy practices or content of those sites. We encourage you to review the privacy policies of any third-party websites you visit.

06

Data Retention

We retain different types of data for different periods, based on what is operationally necessary and legally required.

  • Uploaded files. Permanently deleted immediately after your download is complete or after a short session expiry window — whichever comes first. Files are never archived.
  • Server logs. Technical server logs (which may include IP addresses) are retained for a limited period for security monitoring and are then automatically purged. These logs do not contain file content.
  • Contact enquiries. If you contact us directly, we retain your message and contact details for as long as necessary to resolve your enquiry, and no longer.
  • Analytics data. Aggregate, anonymized analytics data may be retained for longer periods for the purpose of understanding long-term platform trends. This data cannot be used to identify you individually.
07

Your Rights

Depending on your country of residence, you may have certain rights with respect to any personal data we hold about you. These may include rights under the General Data Protection Regulation (GDPR), the California Consumer Privacy Act (CCPA), or other applicable privacy legislation.

Rights You May Have

  • Right to access. You may request confirmation of whether we hold any personal data about you and, if so, a copy of that data.
  • Right to rectification. If any personal data we hold is inaccurate or incomplete, you have the right to request a correction.
  • Right to erasure. In certain circumstances, you have the right to request that we delete any personal data we hold about you.
  • Right to object. You may object to certain types of data processing, including processing based on our legitimate interests.
  • Right to data portability. Where applicable, you may request that we provide your personal data in a structured, commonly used, machine-readable format.
  • Right to withdraw consent. Where processing is based on your consent, you may withdraw that consent at any time without affecting the lawfulness of prior processing.

Because Transfonic does not require account creation and does not retain file content, the personal data we hold about any individual user is minimal by design. To exercise any of these rights, please contact us at privacy@transfonic.com.

08

Children's Privacy

Transfonic is not directed at children under the age of 13, and we do not knowingly collect personal information from children under that age. If you are a parent or guardian and believe that your child has provided us with personal information without your consent, please contact us immediately at privacy@transfonic.com and we will take steps to delete that information promptly.

Users between the ages of 13 and 18 should review this policy with a parent or guardian before using the platform.

09

Security

We take the security of your data seriously and implement industry-standard technical and organizational measures to protect it from unauthorized access, loss, disclosure, or alteration.

  • All data transmitted between your browser and our servers is encrypted using 256-bit SSL/TLS protocols.
  • File processing takes place in isolated, ephemeral server environments that are destroyed after each session.
  • Access to internal systems and infrastructure is strictly controlled and limited to authorized personnel only.
  • We conduct regular security reviews and apply patches and updates promptly.

While we implement robust security measures, no method of transmission over the internet or method of electronic storage is completely secure. We cannot guarantee absolute security, but we are committed to maintaining the highest practical standard of protection for all data associated with our platform.

If you become aware of a security vulnerability or incident related to Transfonic, please report it to us immediately at security@transfonic.com.

10

Changes to This Policy

We may update this Privacy Policy from time to time to reflect changes in our practices, legal requirements, or platform features. When we make material changes, we will update the "Last Updated" date at the top of this page.

We encourage you to review this policy periodically. Continued use of Transfonic after any changes are published constitutes your acceptance of the updated policy. If you do not agree with a revised policy, please discontinue use of the platform and contact us if you have questions.

For significant changes that materially affect your rights or how we handle your data, we will make reasonable efforts to provide a more prominent notice on the platform at the time the changes take effect.
